Creating New Booking

Bookings is a new feature for WorldScope that will enable the User to make bookings online. The Booking Page displays First Mile events and references are also available to filtering and sort page. Use your filters to narrow your list and your Sort by to re-order the bookings.

Click into BOOKINGS Sidebar Menu option to view your bookings. You will see two (2) additional submenu options –

• Drafts – bookings that have not been completed can be saved as Drafts to be completed later.

• Templates – bookings that are for repetitive moves can be saves as templates to speed up the booking process.

New bookings can be created BOOKINGS page, or you can access your Templates from the Booking Templates Page. We suggest that repetitive bookings be saved as Templates as you create them.

2 CREATE BOOKING OPTIONS

The User will be able to create a booking from Create New, or from a Template, or complete a Draft.


  

2.1 CREATE BOOKING PAGE 1 – PARTIES & REFERENCES

Page 1 captures Parties and Reference information. Your Related Parties will appear in the Drop Downs for required fields which will be highlighted in red if User clicks into white space of the booking form.

If the drop downs are blank or if your partner is missing, contact your Customer Service Representative to get the system updated. If the Consignee is missing, User can select a Port - UNLOCO that the booking is for and provide Consignee Name & address in Remarks on Page 2.


At any point in the process, you can save as a Draft and continue the booking later. The Draft will appear on the Draft SubMenu list page.

For Shipper/Pick Up/Consignee – User can type name in drop down to find match. All 3 of these are mandatory to make a booking. If there is no Pickup Required

The Cargo Ready date needs to be 7 days in the future. The Required Delivery Date is an optional field. Order or Shipper Reference will be required to proceed.


2.2 CREATE BOOKING PAGE 2– ROUTING & RATING

Page 2 is routing & rating information for the booking. All fields are mandatory except 4 & 9. Fields 3, 5-8 have drop downs for selection of acceptable


 

2.2.1 Origin/Destination

Origin & Destination will pre-populated based upon Pick Up Location & Consignee. These can be updated manually. Please see the list of Sun Chief current ports of call.

2.2.2 IncoTerms

2020 IncoTerms have been pre-loaded in the drop down, please select one in IncoTerms. For the Place associated with the IncoTerm,

User can provide in “additional terms” as displayed below.


2.2.3 B/L Release Type

This field will guide the type of Transport Document you need.

Please select from the drop down.


2.2.4 Delivery Mode

This field will indicate how the shipment is routed. Door/Door, CY/CY etc… Please select from the drop down.

2.2.5 Rate Quote Type

Please advise what type of Bill of Lading we need to issue for this Export. Available options are in the drop down.

4. Direct Carrier Contract - select Carrier and advise Contract #


For Sun Chief/Swire Service NRA = Contract #


2.2.6 Remarks

Please advise any special handling.  If your CRD is earlier than allowed in app, please make note here.

3. If no consignee in drop down on page 1 - provide consignee name & address to add to booking and our Operating System.

2.2.7 Save Template

The User can click Save Template at the Top Right of the screen.


System will provide name as Consignee name.  This can be changed by you.  You also have ability to make notes in description if you want to create multiple templates per consignee.




2.3 BOOKING PAGE THREE – CARGO & EQUIPMENT

Page 3 is equipment & cargo and commodity information for the booking. 

All fields need to be entered to proceed to Page 4 to submit the booking.

You can save as a draft if you need to obtain the data from someone in your organization and complete booking later.


1. Number of Containers – All containers same weight/size/commodity

2. Container Size/Type – Drop Down

4. Commodity (35-character limit)

5. Temperature Controlled – Yes/No – Required

a. Min/Max Temp Window will open if YES - default in Celsius

b. Vent settings - default in Percent %

6. Hazmat - Yes/No – Required

a. If Yes, upload Haz declaration is required

7. Add another container

8. Summary of containers on booking

2.3.1 Container Size

Please select container size from the drop down provided in the tool. Dynamic search is available.


2.3.2 Weight

Weight in kilograms must be entered for each container.


2.3.3 Commodity

Commodity description is required.


2.3.4 Temperature Controlled?

There must be a response to this question to proceed. If YES additional information is required to proceed with submission of booking.


2.3.4.1 Provide Min/Max Temp

If Yes, Min/Max temperature in Celsius is required. You can save as a draft if you need to obtain the data from someone in your organization and complete booking later.


2.3.4.1 Provide Vent Settings

If Yes, vent settings on refrigerated equipment is required. Default in percentage. 


2.3.5 Hazardous

There must be a response to this question to proceed. If YES additional information is required to proceed with submission of booking.


2.3.5.1 Attach Haz declaration

If Yes, User must upload a Haz Declaration to be able to proceed with submission of the booking. You can save as a draft if you need to obtain the dec from someone in your organization and complete booking later.

Click on Attach Hazmat Declaration

Drop & Drag your file into upload wizard or Click in box to select file.

Click Upload.

Close window when complete.

Once file is uploaded the name of the file uploaded appears under Hazmat?

Below is an example of a Temp Controlled Booking.




2.4 BOOKING PAGE FOUR – REVIEW & SUBMIT


Page 4 is review & submit page for the booking. This is the last time to review data before it will be submitted into our Operating System for processing by the team. User can save booking as Template on Page 4.

Each Page has a section which is editable by click on the pencil (1,2&3 above) which will allow the user to go back to the page & correct the booking.

Once the page is corrected, click Update at the bottom left of the page and User will be returned to Page 4.


2.4.1 Submit Booking

If this is a new Consignee, User can Save as Template (#7, #4 in screenshot).

 Click Submit Booking (#6, #5 in screenshot) after confirming your data is correct.

 A window will open reminding you that once you submit any adjustments will have to be coordinated with your Customer Representative. If you are not sure, click BACK.


Click the submit (#6 in screenshot) and your booking will be pushed into our Operating System.
